Privacy, explained clearly.

How E-Office collects, uses, protects and shares information while supporting attendance, HR, payroll, tasks, communication and office administration.

Effective 7 August 2026 Version 1.0 Applies to mobile app, web portal and API

In short: E-Office is an internal workplace system used only by DNK Education Services LLP and its authorized staff. Accounts are created and managed by authorized Admin or HR personnel. We do not sell staff data, show advertising or use precise location for marketing.

1. Scope and operator

This Privacy Policy applies to the E-Office mobile application, web portal, associated application programming interfaces, and related administrative tools (together, the “Service”).

The Service is operated for DNK Education Services LLP (“DNK”, “we”, “our” or “the Organization”). It is a private office-management system, not a public social network or consumer service. Access is limited to employees, contractors, management and other personnel specifically authorized by DNK.

Workplace recordsInformation may form part of DNK’s official HR, payroll, attendance and operational records.

2. Information we collect and process

Photo and document access: when you attach a profile image, message attachment or document, the app uses the device’s system picker. E-Office receives the item you choose; it is not intended to scan or upload your entire photo library or device storage.

3. Precise location and attendance

When location is collected: for staff roles that use attendance, E-Office requests foreground (“while using the app”) location when the user actively taps Check in or Check out.

What is recorded: latitude, longitude, location accuracy, the attendance timestamp, calculated distance from the configured office location, and whether the reading falls within the configured office geofence.

Why it is used: to verify and maintain official attendance records, identify out-of-range entries and support authorized attendance reporting. Depending on role permissions, authorized HR, Admin, management or departmental supervisors may view attendance locations and reports.

What E-Office does not do: it is not designed to continuously monitor movement, collect background location, sell location, build advertising profiles or use location for marketing.

If location permission is denied, other available parts of E-Office may continue to work, but location-based check-in and check-out cannot be completed.

4. How information is collected

  • From DNK and authorized administrators: when Admin or HR personnel create an account, employee file, payroll profile, department, assignment or other workplace record.
  • From staff members: when they update permitted profile fields, record work, submit leave, send messages, upload selected content or otherwise use the Service.
  • From the device: precise location supplied with permission during a user-initiated attendance action, selected photos/documents, and necessary network/session information.
  • Generated by the Service: user IDs, timestamps, read receipts, workflow states, geofence results, audit events, reports and exports.

5. How we use information

  • Authenticate staff, manage accounts, assign permissions and provide role-based access.
  • Operate attendance and geofence checks, tasks, daily logs, leave workflows, messaging, announcements, e-filing, galleries, internal programs and other office tools.
  • Maintain employee, department, payroll, payslip, bank, tax and employment records.
  • Enable authorized reporting, document generation and PDF/Excel exports.
  • Protect accounts, investigate misuse, maintain audit trails, troubleshoot faults and improve reliability.
  • Meet employment, accounting, tax, recordkeeping, legal and regulatory obligations applicable to DNK.
  • Enforce DNK policies and the E-Office Terms of Service.

We do not use staff information for third-party behavioral advertising, and we do not sell personal information or precise location data.

6. Who can access information

Information is not public. It may be accessed or disclosed only as reasonably necessary:

  • Within DNK: staff, HODs, HR, Admin, management and other authorized personnel according to role, department and business need. For example, payroll and bank information is more restricted than ordinary announcements.
  • To service providers: vendors that host, store, secure, maintain or support the Service, acting under DNK’s instructions and subject to appropriate confidentiality and security obligations.
  • For legal or safety reasons: regulators, courts, law enforcement, auditors, advisers or other parties when required by law or reasonably necessary to protect rights, security or safety.
  • For organizational change: a successor or authorized party involved in a merger, restructuring or transfer, subject to applicable protections.

Users should treat all workplace information available through E-Office as confidential and access it only for authorized duties.

7. Retention, account closure and deletion

DNK retains information for as long as it is needed for the purposes described above, the staff member’s working relationship, internal record schedules, dispute handling, security, backups, and applicable employment, accounting, tax or legal requirements.

  • Accounts may be suspended, deactivated or deleted by authorized Admin/HR personnel when access is no longer required.
  • Deleting an account does not automatically erase every related workplace record. Attendance, payroll, audit, e-file, message, approval and other official records may be retained where DNK has a legitimate or legal recordkeeping need.
  • E-files may use organization-selected retention categories such as one, three, five or seven years, permanent retention, or a custom period.
  • Deleted information may remain temporarily in protected backups until the relevant backup cycle expires.

8. Security

DNK uses reasonable organizational and technical safeguards designed to protect information. These include role-based permissions, authenticated access, password hashing, secure session handling, audit logging, production network encryption, restricted administrative functions and controlled account lifecycle management.

No system can guarantee absolute security. Staff must protect their credentials, keep devices appropriately secured, avoid sharing accounts, and promptly report suspected unauthorized access to HR/Admin.

9. Staff choices and privacy requests

Subject to organizational policy and applicable law, staff may ask DNK to access, correct or update their information, explain its use, restrict inappropriate processing, or close/delete their E-Office account. Because accounts and employment records are managed by DNK, these requests should be made through the staff member’s HR/Admin contact or the contact details below.

  • Some profile information can be updated directly where the role permits.
  • Device location and photo/document permissions can be managed in device settings.
  • Location permission is optional at device level, but it is operationally required to submit location-verified attendance.
  • Requests may be limited where DNK must preserve official employment, financial, audit, legal or security records.

10. Processing and storage locations

The Service and its providers may process or store information in Pakistan or another location where authorized infrastructure or support providers operate. Where information is processed outside the staff member’s location, DNK will seek to apply appropriate contractual, organizational and technical protections.

11. Children and students

E-Office is an internal workforce application. It is not directed to students or children and is not intended to create accounts for them. Dependent information may appear only where an authorized HR record requires it.

12. Changes to this Policy

We may update this Policy to reflect changes to E-Office, DNK practices or legal requirements. The updated version will show a revised effective date. Material changes may also be communicated through E-Office or official DNK channels.
